Information sent and received by email is now a major part of a corporation.s intellectual property. Being able to accurately and easily review any email that has been sent or received is vital for any corporation.
Up to 60% of a business.s critical information will have passed through its email system, having this information archived serves as a backup to the business itself. Providing easy, yet secure access to this information to selected staff members aids businesses in data management
Process
EMF.s email archiving solution will capture all inbound and outbound email, regardless of the location it was sent to/received from. Having multiple offices or home workers offers no problem for EMF.
As emails pass though EMF a copy of the email is encrypted (128bit) and stored securely within EMF.s data storage vaults. As an alternative, an option to have archived emails stored within the business premises is offered.
Your data is stored on highly secure servers, and encrypted using asymmetric encryption (similar to PGP). Users can only access archived data over a secure (https) connection, if they have the correct username and password to access the site, if they have been granted permission by the administrator, and if they hold the correct private key.

Secure storage
We have designed the archive module with your security in mind.
Mail is stored on our servers using an asymmetric encryption system. This has two benefits:
1. Data encrypted in this way is incredibly secure, and it is as close to an uncrackable algorithm as today's technology allows.
2. Different keys are used for the encryption process, a public key for encryption and a private key for decryption. Even if a third party gained access to the public key, they would still be unable to crack the encryption - You and you alone control who has access to the private key.
EMF utilises state of the art firewall and anti-penetration technology in all our data centres.
All archive data is stored on highly redundant file servers and is heavily protected against the possibility of hardware failures of the storage devices.
Every mail that is archived is individually encrypted.
Secure access
Access to the admin website.s archive pages are via a secure (https) web interface.
Individual users access the system via unique usernames and passwords.
Individual users may be granted/denied permission by the administrator to both view archive reports and queries and to view archive content online or send archive content to another location.
Once you have supplied your private key to the EMF site for viewing content, it is remembered by the web server for the lifetime of the session (i.e. until you close your browser window or log out). There is an optional mechanism to allow the key to be stored in a cookie so that the key does not have to be re-entered for each new session, though this is not recommended unless you are certain that your local computer is 100% secure.
Searching
Searches can be carried out via the archiving web site. The following can be queried: ArchiveID, MailInID, Target domain, Time and Date (to the nearest second), Subject, Sender, Recipient(s), Attachments and Size.
When the search has completed, a results table is generated. You can then choose to drill deeper using more search terms.
Once you have completed the search, assuming you have been granted preview permissions by the administrator, you can have a copy of any messages in the table sent to your own email address or the currently logged in user, or you can preview the messages online using the preview link.
Lifetime of archive
It is up to you to decide how long your archive should be maintained, from 12 months up to 10 years. When the lifetime of the archived data expires, we will copy the dead archived data to CD-ROM which we send to you, and remove the data from our .live. servers.
